We are an EU-based company subject to the General Data Protection Regulation (GDPR) and operate GDPR-compliant infrastructure from day one.

What Data We Collect

We collect only the data necessary to provide our services and communicate with you.

Contact form submissions

When you submit our contact form, we collect your name, email address, company name, purpose of enquiry, and message content. This data is processed on the legal basis of legitimate interest (responding to your enquiry) or, where applicable, to take steps prior to entering a contract.

Product usage

When you purchase or use our products (Pulse, Digaso, RevealWhy, Penguins), we collect the information necessary to deliver the service, including your name, email, company, and payment details. Payment processing is handled by third-party providers; we do not store credit card numbers.

Website analytics

We use Plausible Analytics, a privacy-focused, cookieless analytics tool. Plausible does not use cookies, does not collect personal data, and does not track individual visitors across sessions or websites. All data is aggregated. No personal data is sent to third parties. This means our website analytics are fully GDPR-compliant without requiring cookie consent.

Cookies

This website does not use tracking cookies.

We use Plausible Analytics, which is a cookieless analytics solution. No cookies are placed on your device for analytics purposes. We do not use any third-party advertising, remarketing, or social media tracking pixels.

Essential cookies may be used solely for technical functionality (such as session management if you use a product dashboard). These are strictly necessary and do not require consent under GDPR.

How We Use Your Data

We use personal data for the following purposes:

  • Responding to your enquiries and providing customer support
  • Delivering our products and services
  • Processing payments and managing your account
  • Sending service-related communications (not marketing, unless you opt in)
  • Improving our products and services based on aggregated, anonymised usage data
  • Complying with legal obligations

We do not sell, rent, or share your personal data with third parties for their marketing purposes.

Data Retention

We retain personal data only as long as necessary for the purposes outlined above, or as required by applicable law. Contact form submissions are retained for up to 24 months unless a business relationship is established. Product-related data is retained for the duration of the service agreement plus any legally required retention period.

Data Sharing and Transfers

We may share personal data with trusted service providers who assist in operating our business (hosting, payment processing, email delivery). All processors are bound by data processing agreements in compliance with GDPR Article 28.

Where data is transferred outside the European Economic Area (EEA), we ensure appropriate safeguards are in place, such as Standard Contractual Clauses (SCCs) approved by the European Commission.

Your Rights

Under the GDPR, you have the following rights regarding your personal data:

  • Right of access — request a copy of the personal data we hold about you
  • Right to rectification — request correction of inaccurate or incomplete data
  • Right to erasure — request deletion of your personal data
  • Right to restrict processing — request that we limit how we use your data
  • Right to data portability — receive your data in a structured, machine-readable format
  • Right to object — object to processing based on legitimate interest
  • Right to withdraw consent — where processing is based on consent, withdraw at any time

To exercise any of these rights, contact us at team@soulution.ai. We will respond within 30 days.

You also have the right to lodge a complaint with your local data protection authority. In Portugal, the supervisory authority is the Comissão Nacional de Proteção de Dados (CNPD).

Security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure, or destruction. This includes encrypted data transmission (TLS), access controls, and regular security reviews.

Changes to This Policy

We may update this privacy policy from time to time. Changes will be posted on this page with an updated revision date. For significant changes, we will provide notice through our website or via email where appropriate.
